<div> <p> Job Requirements </p> <ul> <li> Three (3) years of Federal Human Resource (HR) experience is preferred, at least two (2) of which must be Executive Administrative experience supporting a Senior Manager or Executive. </li> <li> A college degree may be substituted for one (1) year of non-specialized experience. </li> <li> Proven administrative skills and experience working with automated systems is preferred. </li> <li> Proficient communication and administrative skills to perform executive support and office management duties. </li> <li> Exceptional verbal and written communication skills. </li> <li> Must be able to independently juggle multiple activities coming from a variety of people, working with leadership to get input in prioritization but keeping everything moving forward without requiring significant direction. </li> <li> Must have strong attention to detail and great flexibility in responding to changing priorities. </li> <li> Must have the highest standards of customer service and be able to maintain a professional working relationship with all members of the office. </li> <li> Skills in Microsoft Word, Outlook, Teams, Excel, and PowerPoint must be high. </li> <li> Experience maintaining office supply inventory is preferred. </li> <li> Knowledge of Federal HR terminology, operations, procedures, and requirements is preferred. </li> </ul> <p> <br/> </p> <p> Job Description * </p> <ul> <li> The Executive Administrator will assist in managing and coordinating the administrative and secretarial work in support of a Senior Executive to include: </li> <li> Manage calendars and arrange meetings and conferences, to include schedule coordination with internal and external parties, technology setup, meeting material preparation, room setup, and other logistics. </li> <li> Assist with time management to ensure the Director and Deputy Director meetings end in a timely manner and they have necessary travel time when applicable. </li> <li> Ensure materials are received one business day in advance of all meetings and organized in the appropriate binder or folder. </li> <li> Organize meeting materials for long-term reference in folders or binders by topic or as desired by the Director or Deputy Director. </li> <li> Receive telephone calls and visitors, ascertains nature of calls and visits, and provide direct assistance or refer to appropriate person. </li> <li> Screen incoming mail, sorts and distribute to appropriate individual or office for action. </li> <li> Inform the Director or Deputy Director direct reports and subordinate organizations on needed actions, reports, or projects. </li> <li> Manage timely submission of required information for both short-term and long-term requests on behalf of the Director or Deputy Director. </li> <li> Conduct data entry management, clerical, and administrative support; performing standard office procedures. </li> <li> Interact with Office of Human Resources (OHR) and Agency personnel on administrative matters. </li> <li> Receive important and sensitive documents from partners across OHR and Agency-wide; maintain a log of current status; review for completeness; route for signature; and ensure deadlines are met. </li> <li> Review outgoing correspondence submitted for executive signature to ensure completeness; learn and work within Agency systems and policies. </li> <li> Prepare or maintain systems, programming and operations documentation, procedures and methods, including user reference manuals (SOP). </li> <li> Assist in property, purchasing, and space management as it relates to the Front Office; provide HR supply management. </li> <li> Prepare new and edit existing communications, reports, presentations, and spreadsheets on behalf of the Director and Deputy Director. </li> </ul> <p> </p> </div>
