<h3>Summary:</h3> We are seeking an Executive Assistant to perform various office duties
<h3>Job Title: Executive Assistant</h3>
<h3>Location: Albany NY 12257</h3>
<h3>Target Work Schedule: Monday to Friday 8:00AM-4:00PM</h3>
<h3>Target Duration/End Date: July 2026</h3>
<h3>Description of Roles and Responsibilities:</h3>
<ul>
<li>Assist with processing credit card charges in the Statewide Financial System (SFS)- verify coding of charges and ensure completion of supporting documentation</li>
<li>Assist with hiring of temporary employees under Administrative Services contracts - preparation/submission of paperwork to review vendor submissions, scheduling of interviews in MS Teams, act as a liaison between the business unit and temporary employment agencies, coordinate onboarding</li>
<li>Assist with the management of subscriptions and memberships - record payments and maintain spreadsheets</li>
<li>Assist with the invoicing process - review invoices and timecards to ensure accuracy, request adjustments when necessary</li>
<li>Perform various other duties in support of office operations (examples include posting of permanent recruitments to professional websites, responding to Freedom of Information Law (FOIL) requests, etc.)</li>
</ul>
<h3>Mandatory/Minimum Qualification, Skills, Experience Requirements:</h3>
<p>Associate or Bachelor's degree preferred. And at least two years of relevant experience</p>

<ul>
<li>AutoCAD</li>
<li>Adobe Suite (Acrobat Pro, Photoshop, InDesign)</li>
<li>Able to work under existing, as well as help create new, project schedules and plans</li>
<li>Ability to shift between working independently and setting internal goals, to working closely with a small team</li>
<li>Proofreading skills</li>
<li>Must have good time management skills</li>
<li>Detail-oriented, organized</li>
<li>Able to catch errors/inconsistent/ incomplete work, proofread work</li>
<li>Able to manage a large volume of electronic files without commingling files</li>
<li>Must be able to work quickly and accurately</li>
<li>Able to follow office policy and procedure</li>
<li>Analytic and critical thinking skills</li>
<li>Able to rename PDF files, drag and drop files in folders, copy and paste files into folders, create folders, edit template emails, double checks work, ask questions when clarification is needed</li>
<li>Must be proficient in Microsoft Word, Microsoft Excel, and Microsoft Outlook</li>
